Imagine recently graduating as a registered nurse (RN), eager to kickstart your career and vocation for caring for patients in Alberta, only to discover you could be stuck waiting up to 7 months for your license?  

Until 2018, this was the unfortunate reality for thousands of nurses in Alberta due to legacy systems and manual processes that kept front-line staff buried in paperwork and left aspiring nurses out of the OR.  

As the professional and regulatory body responsible for licensure, renewal, and oversight for over 50,000 registered nurses across the province, the College of Registered Nurses of Alberta (CRNA) recognized the urgent need to overhaul its digital infrastructure to better meet the needs of modern healthcare professionals and get nurses back to doing what they do best, providing world-class healthcare to patients in our province. 

Problem

Prior to embarking on their journey of digital transformation, CRNA was plagued by the same challenges many regulatory bodies face across the country: 

  • Lengthy manual, paper-based renewal and verification processes;
  • Operational inefficiency due to time-consuming routine, admin tasks;
  • Risk-averse culture resistant to change with entrenched workflows

In 2018, CRNA began laying down the technological foundation that would eventually form the basis for a multi-year partnership with Punchcard Systems to reimagine their entire end-to-end digital experience.

In 2022, a digital roadmap was developed to eliminate manual processes, enhance transparency and stakeholder engagement, and implement a scalable 24/7 digital service model for all Alberta nurses.

Our Approach

Recognizing the need to rethink how a modern regulatory body should operate, CRNA got to work intentionally envisioning how they would go about replacing their current licensing and registration portal. 

By combining design thinking with right-sizing the organization’s strategic goals, CRNA’s approach centered around a five-phase framework: 

  1. Empathizing with users (in this case, nurses), 
  2. Defining the problem,
  3. Ideating solutions,
  4. Prototyping solutions, and
  5. Testing proposed solutions with users

By focusing on the user’s needs, this approach combines empathy with technical and business feasibility to create desirable products and services. In other words, CRNA intentionally sought to design and build a software platform nurses would actually use. 

With this methodology in mind, Punchcard Systems and the College of Registered Nurses of Alberta (CRNA) partnered to develop College Connect—an integrated digital platform designed to centralize nursing permit applications, verifications, and renewals as well as automate customer service workflows, data auditing, and regulatory reporting.
